Room Insights: Seeing Which Tabs, Sections and Content Clients Viewed

See which tabs, sections, files, videos and links clients opened in a room, how many clients opened them and how long they spent.

Written by Nadav Weiss

The Tabs, Sections and Content tabs in Room Insights show which parts of a room clients opened, how many of them opened it, and, for sections and content, how long they spent. Each tab covers one level of the room: Tabs covers the room's tabs, Sections covers the sections inside those tabs, and Content covers the individual files, videos and links inside those sections. Clients never see Room Insights - the page is visible only to the seller side. Only items a client actually opened appear in these tables, so a tab, section or piece of content that nobody opened has no row.

Prerequisites & Requirements

  • Plan: Available on all plans.

  • Role: Any user who can open the room's Insights page. Admins and Owners can open Insights on every room in the account.

How to open the Tabs, Sections and Content tables

  1. Open the room.

  2. Click Insights in the top bar.

  3. Click Tabs, Sections or Content in the tab row.

How to read each table

Each of the three tables covers one level of the room.

Tabs shows every tab clients opened:

  • TAB - the tab name. Click it to open the room on that tab in a new browser tab.

  • TOTAL VIEWS - how many times clients opened the tab.

  • STAKEHOLDERS - how many individual clients opened the tab.

  • LAST VIEWED - the date a client last opened the tab.

Sections shows every section clients opened:

  • SECTION - the section name.

  • LOCATION - the tab the section sits in. It underlines when you hover over it - click to open that spot in the room in a new browser tab.

  • TOTAL VIEWS, STAKEHOLDERS, LAST VIEWED - the same as in Tabs.

  • TOTAL TIME - how long clients spent on the section.

Content shows every file, video and link clients opened:

  • CONTENT - the content name. A small Library icon next to the name means the item came from your Library. The name underlines when you hover over it; click to open the content in full-screen preview.

  • LOCATION - the tab and section the content sits in. It underlines when you hover over it; click to open that spot in the room in a new browser tab.

  • TOTAL VIEWS, STAKEHOLDERS, TOTAL TIME, LAST VIEWED - the same as in Sections.

  • DOWNLOADS - how many times clients downloaded the file.

Click any column header to sort by that column. Each table opens sorted by TOTAL VIEWS, highest first.

How to see which clients viewed an item

Hover over the number in the STAKEHOLDERS column to see the names of the clients who viewed that tab, section or content item. The number is underlined to show it carries more detail.

How to filter the tables

Two filters sit above each table, and both apply to that tab only. Switching tabs does not carry a filter across, and the date range resets to All time every time you open Room Insights.

  1. Click the date range control to limit the table to a period: Last 7 days, Last 30 days, Last 90 days, This quarter, All time or Custom. Every visit opens on All time - the selection is not remembered between visits.

  2. Click Filter by stakeholder to limit the table to specific clients. Every client is selected by default, so the table opens showing everyone. Use Clear all and then tick the clients you want, or use the search field to find one by name.

How to open a piece of content

In the Content tab, click the content name to open the content in full-screen preview. The name underlines when you hover over it. Use Actual size, Page fit or Page width to change how it displays, and close the preview to return to the table.

Rows themselves are not clickable - only the content name, the location and the stakeholder count respond. Sections and tabs have no preview mode in Aligned, so use the TAB or LOCATION link to open that spot in the room instead.

How time is counted

TOTAL TIME measures active time clients spent, and it follows four rules.

  1. A hover shorter than 5 seconds that leads nowhere is not recorded. A hover that leads into opening content counts whatever its length.

  2. Content counts as viewed after 5 seconds of hover, or when a client opens it in full screen. Video is the exception: it counts only from the moment a client presses play.

  3. Section time is the hover around a content view, before and after, plus the content time itself. A client who hovers a PDF for 3 seconds, reads it for 5 seconds in full screen, then hovers it for 2 more seconds adds 10 seconds to both the section and the PDF - a PDF counts as viewed while it is hovered, so the hover belongs to the file as well as to the section. The same sequence with a video gives the section 10 seconds and the video 5, because a video only counts from the moment it is played.

  4. A section that holds no content - a text section, an action plan or a form - earns its own time from 5 seconds of hover.

Section time and content time describe the same seconds at two levels, so the two numbers do not add up to each other. A section showing 10 seconds while the PDF inside it also shows 10 seconds is correct.

Room Insights tabs vs. other analytics in Aligned

Aligned has three places that show content engagement, and each answers a different question.

Limitations

  • Only items clients opened appear. A tab, section or content item that nobody opened has no row. These tables cannot tell you what a client skipped.

  • The Internal tab never appears in the Tabs table. Clients cannot see the Internal tab, so it never collects client activity.

  • Seller activity is not recorded. Opening your own room does not create a view, and neither does a colleague on your team opening it.

  • TOTAL TIME shows N/A where time cannot be measured. This applies to a section where a client hovered a video without playing it, and to content types Aligned cannot time.

  • The date range is not remembered. Every visit opens on All time.

Troubleshooting & FAQ

Q: Why is a section or file missing from the table?
A tab, section or content item appears only after a client has opened it. If nobody opened it, there is no row. Check the date range as well - an item opened outside the selected period does not appear.

Q: Why does the Internal tab never show up in the Tabs table?
The Internal tab is hidden from clients, so clients never generate activity on it. Its absence from the Tabs table is correct behaviour, not a missing row.

Q: Why does TOTAL TIME show N/A instead of a number?
N/A means Aligned could not measure time for that row. The most common cause is a client hovering over a video without pressing play: the section records the view, but there is no playback time to report.

Q: Why don't the section time and the content time add up?
Section time and content time measure the same seconds at two different levels. A client reading a PDF inside a section adds those seconds to both the PDF and the section, so the two numbers overlap on purpose and are not meant to be added together.

Q: I opened my own room, so why does nothing show in the tables?
Room Insights records client activity only. Opening your own room, or a colleague on your team opening it, does not create a view.

Q: A file was removed from the room. Why does it still appear?
Content that was removed or hidden still appears if a client viewed it inside the selected date range. The view happened while the content was available, so the record stays.

Q: What do the empty-table messages mean?

"No tabs visited yet." / "No sections visited yet."
What this means: The room has tabs and sections, but no client has opened any of them yet.
How to fix it: Click Share room with clients to send the room, then check back once a client opens it.

"No content in this room yet"
What this means: The room has no content inside its sections to track.
How to fix it: Click Edit the room manually to add content yourself, or click Open Seller Agent to have the room set up for you.

"No content match these filters"
What this means: Clients have opened content in this room, but none of it falls inside the date range or the stakeholders you selected.
How to fix it: Click Clear filters to reset the date range to All time and re-select every stakeholder, or widen the date range yourself. The wording changes with the tab - the Tabs tab says no tabs match, the Sections tab says no sections match.

Pro Tips

  • Sort by LAST VIEWED to find what's fresh. When a deal goes quiet, the most recent date in the table tells you what the client was last looking at, which is usually the right thing to reference in a follow-up.

  • Use the stakeholder filter before a call. Select the one person you are meeting and the tables redraw around them, showing exactly what that individual opened.
