Our Team Section

Written by Joice

Overview

The Team section shows everyone involved in the deal, on your side and (if enabled) on the client's side, along with their contact details. It gives you a clear view of who's part of the evaluation and helps you manage deals with many stakeholders.

Only people who are added to the Team section appear there. Entering the Room alone does not add someone to the list.

Prerequisites & Requirements

  • Plan: All plans

  • Role: Room owners and internal collaborators with edit access.

  • Permissions: Sellers can add, edit, reorder, and remove members. Clients can add their own teammates unless the section is locked.

  • Technical Requirements: No additional setup required.

What You Can Do in the Team Section

As a seller, you can:

  • Add members to your team

  • Add client-side stakeholders

  • Allow or prevent clients from adding teammates

  • Edit names and job titles (where permitted)

  • Reorder members on both sides

  • Resend invitations

  • Remove members from the section.

How to Add Your Internal Team

You can add colleagues to the Team section whether or not they're already users in your Aligned workspace.

If they're already an internal user:

  1. Go to the Team section in the Room.

  2. Click Manage Team.

  3. Click Add next to the person's name.

If they're not an internal user yet:

There's no need to invite them to your account first.

  1. Go to the Team section in the Room.

  2. Click Manage Team.

  3. Click Invite Team Member.

  4. Enter their details.

  5. Click Add to Section.

What happens next:

  • If they don't have Room access yet: they get the standard Room invite email and are given access.

  • If they already have Room access: they're added to the Team section with no extra email.

Adding someone to your team and giving them Room access happen in the same step.

How to Add Client-Side Stakeholders

You can add people from the client's side yourself.

  • If they don't have access, they get an invite email.

  • If they already have access, no new email is sent.

  • Either way, they appear in the Team section, even before they enter the Room.

Letting Clients Add Their Own Team

Clients can add people on their side by default. You can lock the Team section at any time to make it read-only for clients.

When a client adds someone:

  • They need to enter the person's email address.

  • If that person doesn't have access yet, they get an invite email.

  • The new member appears in the Team section.

  • You get a notification that new client-side members were invited.

Tracking Stakeholder Engagement

When an invited user enters the room:

  • Their entry is reflected in Room Analytics.

  • A timeline event is recorded.

  • Their activity becomes trackable like any other participant.

Inviting someone alone does not create a timeline event — entering the room does.

Editing Details

For client-side members shown in the Team section:

  • Sellers can edit name and job title.

  • Email editing follows existing platform rules.

Some users (for example, enriched or CRM-synced contacts) may not be editable due to system restrictions.

Clients cannot edit other client members’ details.

Resending Invites

If someone was invited but hasn’t entered the room:

  • You can resend the invitation.

  • The resend email is sent from you.

  • The original “Invited by” label in the Team section does not change.

Removing Someone from Team Section

Removing someone from the Team section:

  • Removes them from the visible stakeholder list.

  • Does not remove their room access.

Best Practices

  • Add all key stakeholders early so you can see who's engaged and who isn't.

  • Lock the Team section if you want full control over who's listed on the client side.

  • Resend invites to anyone who hasn't entered the Room yet.

Troubleshooting & Common Questions

Does my colleague need to be a user in my workspace before I add them?
No. You can add them straight from the Team section using Manage Team → Invite Team Member → Add to Section.

Why isn't someone showing up in the Team section even though they entered the Room?
Entering the Room doesn't add someone automatically. They need to be added to the section.

When does a stakeholder's activity show up?
Once an invited person enters the Room, their visit shows in Room Analytics, a timeline event is recorded, and their activity is tracked like any other participant. Inviting someone alone doesn't create a timeline event.

If I resend an invite, who is it from?
The resend email comes from you, but the original "Invited by" label in the Team section stays the same.

Does removing someone from the Team section remove their Room access?
No. It only removes them from the visible list. They keep their Room access.
